Case study · Email-to-Deal Tracker

No price quote gets forgotten.

A small business emailed price quotes to customers, then lost track of which ones anyone followed up on. I built an app that turns every quote email into a deal for the right salesperson, reminds them to follow up, and sends the manager a weekly summary. Nobody had to change how they work, and it has run their sales follow-up every day since July 2026.

How it works

Fits the way the team already works

Nobody had to change habits. The app works around the email the manager was already sending.

  1. 01A quote goes outThe manager emails a price quote, same as always.
  2. 02It becomes a dealThe app picks it up, reads the customer and amount, and assigns the right salesperson.
  3. 03A timely reminderFour days later the salesperson gets a reminder that links straight to the deal.
  4. 04One tap to updateClosed, needs follow-up, or cancelled. Cancellations alert the manager right away.
  5. 05A weekly summaryEvery Sunday the manager gets each salesperson's numbers in one email.

Problems I solved after launch

Deals that silently went missing

Problem
A few quote emails never became deals, and nothing showed an error.
What I did
Traced it to how the app decided which emails were new, and rebuilt that step so an email can't be skipped.

Reminders that never arrived

Problem
The app reported reminders as sent, but a salesperson never got them.
What I did
Tested step by step until I found the recipient's company mail filter holding them, instead of trusting the green checkmark.

Recovering after data loss

Problem
The office installation was wiped.
What I did
Rebuilt every deal from the mailbox, then caught that their reminders weren't switched on and fixed that too.

Design from real feedback

Problem
The manager missed notes he had written, and deals blurred together in the list.
What I did
Watched how he actually used it and redesigned both. Every screen here went through rounds like that.

For your team

What I'd bring to your product

Tools people actually adopt

I start from how people already work. Here the manager's routine didn't change at all.

For you: internal tools and products your team uses without training.

Design driven by users

Every change came from watching the manager and salespeople use it, not from guesses.

For you: interfaces that improve with real feedback.

One product, many brands

The same app can be restyled for another business with its own logo and colors, with no code changes. Try the brand switcher above.

For you: white-label and multi-brand products.

Hebrew and mobile, done properly

Built right-to-left from the start for salespeople on phones and tablets.

For you: localized products that feel native, not translated.

Emails that look right everywhere

Branded reminders and reports that display correctly in Gmail, Outlook and phone mail apps.

For you: customer and marketing emails that match your brand.

From idea to a running product

I designed, built, launched and support it. It has run every day since July 2026 for about $10 a year.

For you: someone who ships, and keeps it working after launch.
